Payment Policies
A reservation is considered confirmed once full payment has been received through
any of the authorized channels (bank deposit or credit card).
After payment, the passenger must provide the following information:
• Full name
• Age
• Nationality
• Passport or ID number
• Dietary restrictions
• Allergies
• Hotel where they will be staying
Cancellation and Refund Policies
Advance Cancellations (not applicable for last-minute sales):
• More than 30 days before the tour: 80% refund of the total amount.
• Between 19 and 10 days: 50% refund.
• Between 9 and 5 days: 25% refund.
• Between 4 and 1 day: No refund.
Cancellations due to COVID-19:
• Between 30 and 20 days before the tour: 50% refund.
No refunds will be granted in the following cases:
• Missed flights, ferries, or any transportation issue that prevents the passenger
from arriving on the island in time for the tour. Galápagos Xcursion is not
responsible for these situations.
• Late arrival of the passenger resulting in missed boarding or activity.
• No-shows due to personal reasons, health issues, intoxication, or use of
prohibited substances.
Note: Spaces on Galápagos tour boats are limited and most tours are fully booked
several days in advance. Once a reservation is confirmed, other potential clients are
turned away for that date. If a passenger cancels a few days before the tour, that space
has already been blocked and is difficult to resell with such short notice, resulting in
operational losses. For this reason, refunds will not be issued in these cases.
Price differences between passengers, including promotional or last-minute
rates.
• Early returns due to personal accidents or medical emergencies during the tour.
• Changes in itinerary, weather conditions, mechanical failures, or other force
majeure events beyond the control of Galápagos Xcursion.
• Last-minute bookings (made the day before the tour): cancellations are not
accepted, and no refunds will be issued under any circumstances.
Note: If a passenger cancels their space with short notice, Galápagos Xcursion will
make an effort to resell the space to another interested client. If the spot is resold,
the corresponding refund will be made, minus any administrative costs or
commissions. However, if the space cannot be resold, no refund will be issued, as it
constitutes an operational loss beyond our control.
Date Changes:
The passenger may request a date change only if it is for the same originally booked
tour. Date changes to switch to a different tour are not allowed.
To be considered, the request must be made at least 8 days before the original tour
date. Changes are subject to availability and must be confirmed in writing by
Galápagos Xcursion.
Client Responsibility:
• The passenger is responsible for having a valid visa, passport, and entry
documents for Galápagos.
• Galápagos Xcursion is not responsible for cancellations arising from failure to
comply with these requirements.
• It is the passenger’s responsibility to follow schedules, meeting points, and the
rules of the Galápagos National Park.
Commitment and Safety
In the event of unintentional overbooking, a full refund will be issued to the client or
they will be placed on another boat offering the same activity already purchased.
If a tour must be canceled due to not meeting the minimum capacity, notice will be
given up to 24 hours in advance, and the full amount paid will be refunded.
If an activity must be modified due to force majeure or safety reasons:
• A similar alternative will be offered, prioritizing passenger safety and
enjoyment.
• If the passenger chooses not to accept the proposed alternative, a refund will
be issued.
The company does not guarantee the sighting of specific species, as this depends on
natural conditions and factors beyond our control.
Recommendations:
• Update your watch to Galápagos local time (UTC -6).
• Be punctual. No-shows result in total loss of the contracted service.
Privacy Policy and Data Handling
• The personal information provided by passengers will be used solely for
operational and logistical purposes related to the contracted service.
• Galápagos Xcursion guarantees that this information will not be shared with
third parties, except under legal requirement or justified operational necessity
(e.g., travel insurance or authority notifications).
• The passenger may request deletion or modification of their data at any time.
Liability Disclaimer for Natural Risks
• The passenger acknowledges and accepts that the activities contracted with
Galápagos Xcursion take place in natural environments and may involve
exposure to variable and unpredictable conditions, such as intense sun, rain,
waves, tides, ocean currents, and wildlife, among other factors beyond the
operator’s control.
• Galápagos Xcursion implements strict safety protocols and takes all necessary
measures to provide a safe experience. However, it cannot guarantee weather
conditions, navigation conditions, visibility, or specific wildlife sightings during
the tours.
• By contracting our services, the passenger declares they are in suitable physical
and health condition to participate in the scheduled activities and does so at
their own risk.
Minors Policy
Minors must always be accompanied by a responsible adult throughout the excursion.
Galápagos Xcursion is not responsible for unaccompanied minors.
• Children aged 2 and over must pay the full tour rate.
• Children under 2 years old may participate free of charge.
In case of questions about child rates, these must be consulted and confirmed at the
time of booking.
Health and Physical Fitness Conditions
• By booking our services, the passenger expressly declares that they are in
proper physical and health condition to participate in the scheduled activities,
which may include walking, boarding and disembarking in irregular areas,
swimming, snorkeling, and prolonged exposure to sun or weather.
• It is the passenger’s responsibility to evaluate their health status and consult
their doctor if in doubt before booking.
• The passenger participates at their own risk and releases Galápagos Xcursion
from any liability arising from pre-existing medical conditions, undeclared
illnesses, or incidents caused by physical limitations not previously reported.
• If the passenger requires medical attention during the tour, Galápagos Xcursion
will facilitate the most immediate assistance possible.
• Galápagos Xcursion reserves the right to restrict participation in certain
activities if it considers there is an evident risk to the safety of the passenger or
the group.
Acceptance of Terms and Conditions
By confirming a reservation through any channel (website, email, WhatsApp, or other)
and making the corresponding payment, the passenger expresses their full acceptance
of these terms and conditions.
